PA/ HR Administrator

Job Description

We have an exciting new opportunity for a PA/ HR administrator to join our extremely successful care home business based in Swadlincote.

The purpose of the role is in two parts. The PA role is to support the Managing Director with all administration, diary management and HR support, this will include driving to sites with the MD across the country, and providing administrative support at different locations, as well as also being based in the office in Swadlincote.

The HR role is to support managers within the company with HR decisions, provide support with the disciplinary process, set up new systems, reviewing of company documentation in relation to HR.

You must have had previous experience in a HR role, and be an excellent organiser, you will be a dynamic person, who is proactive, forward thinking and have passion for achieving high standards of accuracy & efficiency in everything you do.

Key Responsibilities

- An excellent level of organisational skills and the ability to multi-task to ensure compliance with office procedures and controls
- Excellent communication skills, both verbally and in written English
- Work to tight deadlines, ensuring that standard weekly / monthly processes are completed within time
- Maintenance of records and filing
- Diary management
- Telephone liaison and message taking at all levels
- Action HR procedures and follow them up afterwards. Taking care of new managers within the group, preparing offer packs and references
- Maintain personnel files and absence management, providing reports and support to managers as necessary in managing staff absence
- Attend when required any Disciplinary / Grievance Meetings as note taker for MD/Line Manager
- Maintain staff holiday records as per company procedure
- Working for Senior Managers on confidential issues
- Typing - Use templates already set up for memos and letters. Compose new templates as required. Audio and copying typing as required
- Dealing with customer complaints, following them up afterwards and ensuring the correct procedures have been followed
- Any other duties as required to meet the needs of the business

Skills, Attributes & Experience

- HR qualification or at least 3 years HR experience, planning disciplinary meetings, aware of ACAS codes of practise
- Competent PC skills, including MS Word, Excel, Outlook, PowerPoint & Sage 50 Payroll
- Must have exceptional administrative and organisations skills, ability to multi-task and be able to prioritise workload
- Excellent telephone manner is essential
- Must be a self-starter, and able to be extremely flexible with regards to daily work
- Ability to work under pressure and demonstrate complete confidentiality
- Minimum 50 wpm typing, including audio typing

Closing date for applications: 10th May 2017

The role is based on 39 hours a week. Hours to be agreed but you may be required to work longer hours at short notice, or extra hours if matters arise. The role is generally based in Swadlincote but you will be required to visit sites with senior management several times a month, and some visits may include pre-planned overnight stays.
